Why this guide exists
You would not store your only copy of a production drawing inside one machine on the shop floor. So why are the prompts, projects and workflows you have built over the past year sitting inside a single AI platform?
Three risks are worth taking seriously.
Platform viability. OpenAI's own forecasts predict a $14 billion loss in 2026,
roughly three times worse than 2025. Analysts have warned the company could
run out of cash by mid-2027.
Infrastructure and cyber risk. The UK's National Cyber Security Centre handled 204 nationally significant cyber incidents in 2025, more than double the
previous year. Major outages at AWS, Cloudflare and Microsoft Azure disrupted millions of users at the
end of 2025. The AI platforms you depend on sit inside those same data centres.
Terms of service and lock-in. Privacy policies shift. Features get removed without notice - Microsoft quietly removed Copilot's proper chat export in 2025. Pricing restructures overnight. The more you build inside one platform, the more painful it becomes to leave.
This guide gives you the backup routine the platforms don't.
What is inside
- Why your AI work needs backing up - the three risks in plain English
- The five things to back up, not just "my chats"
- Platform comparison at a glance - a single table showing what each platform can and cannot export
- Native exports, platform by platform - the exact menu paths for ChatGPT, Claude, Copilot and Gemini, with the caveats that catch people out
- Memory - the bit most people miss, with the prompts that pull it out verbatim
- Six browser extensions worth knowing, and what each one is genuinely best for
- A practical monthly backup routine - five steps, about thirty minutes a month
- What's next - where backup fits into a wider AI strategy
Five things you probably do not know yet
There is a trap in Google Takeout. The "Gemini" entry in the product list exports your Gems configurations, not your chat history. The guide shows you where the chats actually live.
Claude's export cannot be triggered from your phone. Web or desktop app only. If you are a mobile-only user, you currently have no backup at all.
Your ChatGPT download link expires after 24 hours. Miss it and you start the export again.
Custom GPT, Claude Project and Gemini Gem instructions have no export on any platform. Manual only, all four. If you have built assistants, this is the gap that matters most.
Gemini's memory import feature is not available in the UK. You can export out. You cannot import in.
What you will be able to do afterwards
Run a native export on every platform you use, and know what each one leaves behind. Retrieve what each platform has stored about you in memory, word for word. Pick the right browser extension for the gaps. And answer the question that actually matters - if this platform disappeared on Monday, could we rebuild inside a day?

Below-form context and upsell
This guide is the practical follow-through. The strategic case sits in the article.
The parent article covers why this matters at a business level - the risks, the difference between memory and context, how to structure an AI knowledge base, and who inside your business should own it.
If backing up is the symptom, structure is the cure.
Most businesses reach this point because their AI use grew faster than their systems did. As the guide puts it, the businesses getting the most from AI are not the ones with the cleverest prompts. They are the ones treating it as a tool within a system, with the same backup, organisation and continuity thinking they apply to everything else. That is what we build.

Disclaimer block
This guide is provided for general information. The export paths, settings locations and extension reviews are accurate as of early May 2026. AI platforms change frequently - features get added, removed and renamed. The principles will hold; specific menu paths may not. Always verify against your platform's current help documentation before relying on a specific setting.
Nothing here replaces advice from your own IT, legal or compliance function, particularly where client data, personal data or contractual confidentiality obligations are involved. Deleted content will not appear in exports run after deletion. Always export before you delete.
